Recruitment categories

This article explains how to configure recruitment category stages, names, automation, manager approvals, and service level agreement (SLA) timings to manage and monitor the volunteer recruitment process.

You can customise aspects of the steps in a recruitment category and set related service level agreements (SLA) for the time at each stage.

The default recruitment categories are Full and Simple. Additional categories may also be created during implementation.

Names

You can edit the names for each stage here. These are used at various points in the recruitment process.


Settings

You may want to require the named manager to move the application to the next stage, you can set this here. To allow other staff to manage the rest of the process, but the final accountability for clearing an applicant to become a volunteer with the named manager, we recommend you use this at the final Clearance stage.

You may also choose to move applications automatically to the next stage without a manager needing to be involved. You can use this throughout the Simple category, but you can also use this to move all applicants automatically to the start of the Selection stage.

📌 Note: These settings are organisation-wide for the recruitment category and you can't change them at the role profile level.


Timing

The SLA on each stage covers how long an application spends at each stage, before flagging to the opportunity manager that action is required.

Once an application reaches the ideal limit for that stage, a yellow dot appears next to it in the Applications Listing screen. The dot changes to red once the application reaches the max and the manager hasn't taken action.

We recommend the following SLAs for each recruitment stage:

The Application and Clearance stages are dependent on the opportunity manager taking action, so you can set this to what you feel is realistic while keeping the recruitment process as quick as possible.

The Selection stage requires more time, for a selection meeting to be organised, take place and to add the outcome to Assemble.

Within the Checks stage, there are set processes that Assemble automates, including chasing references and asking the applicant to provide alternative referees.

📌 Note: If a referee doesn't have an email address, the SLA is flagged red as soon as the application hits the check stage. This is to alert the manager to take a phone reference, you can't change this.


To edit the default settings for each recruitment stage, point to the stage name then click Edit.

SLA settings apply to the stage, so it affects all steps within the stage. If the ideal and max waiting time for a stage is left blank, the SLA is disabled for the specific stage.
