Assemble Mobile: Support Guide

Drop 1: Volunteer Engagement. Articles for volunteers, volunteer managers and admins.

Welcome to Assemble Mobile

Assemble Mobile brings the everyday essentials of volunteering into a single app.

Volunteers can catch up on news, complete training, message the team, manage notifications and get in touch with feedback, all from a phone.

The app can either be white-labeled or generic, so the logo, colours and app name can carry your organisation's own branding, while the features described in this guide still stay consistent across every organisation using Assemble.

This guide covers the first release, Drop 1: Volunteer Engagement, which launches on 10th August. It is written for three audiences, and each article is labelled accordingly:

  • Volunteers - the people using the app day to day.

  • Volunteer managers - who configure training, messaging permissions and respond to volunteers.

  • Admins and support staff - who manage organisation-wide settings and handle escalations.

How to use this guide

  • Each article opens with a short summary of what the feature does, followed by step-by-step instructions.

  • Where a feature depends on permissions or organisation settings, this is called out clearly.

  • A troubleshooting section for support staff sits at the end of each article.


Getting started: Signing in

Audience: All volunteers

Signing in connects the app securely to your organisation's Assemble account, so your training, messages and activity history are ready as soon as you open it.

How to sign in

  1. Open the app.

    • If branded your organisation's logo appears along with a Sign In button. If you have the generic app the assemble logo will be displayed.

  2. Tap Sign In.

    • You're taken to your organisation's secure sign-in page to enter your credentials.

  3. Once you're authenticated, you're returned to the app and land on the Home screen.

Support tips

  • If sign-in fails or is cancelled partway through, close the browser window and tap Sign In again.

  • A stable internet connection is needed to sign in, though most features work fine afterwards on a weaker connection.


The Home Screen

Audience: All volunteers

Home is your dashboard for a quick view of your volunteering activity. It brings together a personalised welcome, impact stats, your next activity, the latest news and any outstanding training.

What you'll see

  • Impact stats: Your total hours volunteered and Activities completed over the last 30 days.

  • Next activity: A preview of what's coming up for you.

  • Latest news: A carousel of recent articles from your organisation.

  • Training: A snapshot of what needs your attention.

📌 Note: Pull down on the screen at any time to refresh.

At the top of the screen

  • The bell icon: Opens your Notifications. A badge shows how many are unread, capped at ‘30+’.

  • Your profile avatar: Opens your Profile.

Navigation tabs

Five tabs sit along the bottom of the app: Home, Activities, Feedback, Messages and Resources.

  • Activities and Resources are on their way in a later drop and currently show as ‘Coming Soon’.

  • Messages only appears for volunteers with the send-messages permission switched on.


News

Audience: All volunteers

News keeps volunteers up to date with what's happening across the organisation. Articles appear in a carousel on Home and in a full News list, and open into a clean, readable article view.

Browsing news

The News list shows every article with a running count (‘Showing X of Y articles’). Scroll to load more automatically, with a ‘Loading more articles...’ footer while it fetches the next batch. Each article card shows a thumbnail, title, short excerpt and a relative time such as ‘2 hours ago’.

Reading an article

An open article shows its title, timestamp, hero image with caption, the full body and any tags, followed by up to three related More News articles you can jump straight into. The share icon lets you send the article on using your phone's own share options.

How links inside articles behave

Article content is written in Markdown, and any link a volunteer taps is handled by the app rather than passed straight to the browser, so the best experience is chosen automatically:

  • A link to another news article or a training module opens directly inside the app, with no browser involved.

  • A link to another part of Assemble opens in a signed-in in-app browser, so there's no need to log in again.

  • A link to an outside website opens in the phone's normal browser.

Support tips

  • ‘A link does nothing’ - the link most likely uses a scheme other than https, http, mailto or tel, which is blocked for safety.

  • ‘Unable to open link’ alert - check the volunteer's connection first, then the link itself.

  • An Assemble link opening in a browser instead of the app - expected behaviour unless the destination is a news article or training module, which are the only routes wired for in-app navigation so far.

  • ‘Article not found’ - the article has likely been removed; direct the volunteer to Go to all news.


Training

Audience: Volunteers, with configuration by managers and admins

Training lists every induction and ongoing learning module assigned to a volunteer. Modules can be marked Required, and can carry a due date and a renewal or expiry date.

Status at a glance

  • Complete: Finished.

  • Not completed: Still outstanding, sometimes with a due date such as ‘Due tomorrow’.

  • Expiring: Completed previously, with the renewal date within 60 days.

  • Expired: The renewal or expiry date has passed and the module needs redoing.

How a module gets completed

Every module uses exactly one of three completion methods, set by the admin when the module is configured. The app shows the right action automatically, so volunteers never need to work out which applies.

1. Self-certification

Audience: Volunteers

Used when volunteer completion is switched on for the module. The volunteer confirms the training themselves.

  1. Open the module and tap Mark as complete.

  2. On the Confirm training completion screen, select the confirmation checkbox and tap Confirm. The button stays greyed out until the box is ticked.

  3. The completion is recorded against the volunteer's record straight away.

2. Manager sign-off

Audience: Volunteer Managers

Used when volunteer self-completion is switched off and the module isn't linked to an LMS. The volunteer sees a read-only view with a Done button to close it, and cannot mark it complete themselves.

A manager, or anyone with the training-records permission, records the completion on the volunteer's behalf from the Assemble web platform. The module then shows as Complete the next time the volunteer's training list refreshes.

3. External LMS (eLearning)

Audience: Volunteers, with setup by admins

Used when the organisation has a supported Learning Management System enabled and the module is linked to a course with sync switched on. These modules are labelled eLearning.

  1. A How it works note explains that the module is delivered through the LMS, with progress syncing automatically.

  2. Tapping Go to course opens the course in the organisation's LMS in a secure browser window, for the volunteer to complete at their own pace.

  3. On returning to the app, the training list refreshes. If it still shows incomplete, a banner reminds the volunteer that LMS progress can take a few minutes to sync back.

Supported LMS providers: Moodle, CLC (a Moodle-based LMS with pathway support), TalentLMS, Cornerstone and Litmos. Completions come back from the LMS through an automatic background sync.

One method per module

Self-certification and LMS linking are mutually exclusive. If a module is linked to an LMS course, volunteer self-completion is switched off automatically, so a volunteer only ever sees one completion action per module.

Support tips

  • ‘There's no way to mark this complete’ - most likely a manager sign-off module; direct the volunteer to their manager.

  • An eLearning module still shows incomplete after the course is finished - ask the volunteer to wait a few minutes for the LMS sync, then pull to refresh.

  • ‘Unable to open course’ alert - usually a connectivity issue on the volunteer's device.


Messages (Message Centre)

Audience: Volunteers with the send-messages permission; setup by admins

The Messages tab brings a full inbox into the app, so volunteers with the right permission can read, write and manage messages without leaving Assemble Mobile.

The tab is hidden completely for anyone without the send-messages permission.

A red badge on the tab shows the unread count, capped at ‘30+’.

Folders

Five folders sit along the top: Inbox, Important, Sent, Drafts and Deleted, each with its own count badge. The list refreshes on pull-down and loads more messages automatically while scrolling.

📌 Note: Unread messages carry a dot, important ones a red alert icon, and a paperclip marks attachments.

Searching

The search bar finds messages within the current folder. It waits about a second after typing stops before searching, to keep things responsive.

Composing a message

  1. Tap the compose pencil icon in the top-right.

  2. Add recipients in the To field, expanding Cc/Bcc if needed.

    • Typing three or more characters brings up matching suggestions.

  3. Add a Subject and body, attaching files or images with the paperclip icon if needed.

  4. Tap the send arrow icon.

Who a volunteer can message

The recipient search draws on several sources, each gated by permission:

  • People: Individual users from the directory, available to everyone with messaging access.

  • Teams and hierarchy groups: Requires the send-to-hierarchy-groups permission.

  • Roles: Requires the send-to-roles permission.

  • External email addresses: Requires the send-external-email permission; valid email addresses are offered as recipients as they're typed.

Before sending, a message needs at least one recipient, a subject and a body - the send icon stays disabled until a recipient is added, and any missing items are listed if a volunteer tries to send early.

Drafts

Work in progress is saved automatically at intervals while composing. Closing a message with unsaved content prompts a choice: Save Draft, Delete Draft or Keep Editing. Saved drafts sit in the Drafts folder, ready to resume.

Reading and replying

Opening a message marks it as read for recipients, and reply threads are grouped together. From an open message:

  • Reply: Reply to the sender, with a quick-reply prompt also available above the action buttons.

  • Reply All: Shown only when the message had multiple recipients.

  • Forward: Send on to other recipients.

  • Delete: Available everywhere except the Sent folder and already-deleted messages.

System messages and bulk broadcasts can't be replied to - Forward is the only option offered for these.

Managing a message

The ⋮ menu on an open message (not shown in Sent) toggles Important, Read/Unread, and Delete or Recover.

Bulk actions

Long-press a message, or tap its avatar, to enter selection mode, then tap further messages to add them. A bulk action bar offers Read/Unread, Important and Delete or Recover. Selection is switched off in Sent, and Read/Important actions are hidden in Drafts and Deleted.

Tapping a message notification opens that message directly.

Support tips

  • No Messages tab, or unable to compose - the send-messages permission needs switching on for that user, from the web platform.

  • Can't message a team, role or external address - each of these is gated by its own permission.

  • Recipient search shows nothing - at least three characters are needed before suggestions appear.

  • Can't Reply to a broadcast - system and bulk messages only allow Forward, by design.


Notifications & Notification Settings

Audience: All volunteers

The bell icon on Home opens a volunteer's notification history. Notification Settings lets them choose exactly what they hear about.

What can be managed

  • Push Notifications: Shows whether device notifications are Enabled or Disabled, with an Open Device Settings link to switch them on.

  • Categories: Your team, Calendar items, birthdays and reminders, Events, Opportunities, Recruitment, Rota, Tasks, Expenses and Message Centre can each be toggled independently. Only categories relevant to a volunteer's permissions are shown.


Feedback

Audience: All volunteers

The Feedback tab opens a short Microsoft Form inside the app, giving volunteers a direct way to share their thoughts on the new mobile experience.


Profile & Signing Out

Audience: All volunteers

Tapping the avatar on Home opens the Profile screen, showing a volunteer's details and giving access to sign out.

Signing out logs the volunteer out securely and stops notifications going to that device.


For Volunteer Managers and Admins

Audience: Volunteer managers and admins

Most of the app works the same for every volunteer, but a handful of features depend on permissions and settings held on the Assemble web platform.

Automatic

Training sign-off, from a manager's side

Where a module isn't set up for self-certification or an LMS, it falls to a manager to record completion. This happens from the Assemble web platform against the volunteer's training record. Once saved, the module updates to Complete in the app the next time the volunteer's training list refreshes - there's no separate step needed on the volunteer's device.

Setting up an eLearning module

Linking a module to a supported LMS course (Moodle, CLC, TalentLMS, Cornerstone or Litmos) and enabling sync automatically switches off volunteer self-completion for that module, so there's no risk of a module ending up with two conflicting completion methods.

Escalation points

  • Permission questions and role changes - handled on the Assemble web platform by an admin.

  • Bugs, failed links or persistent sync issues - log with Support, including the device type and app version where possible.

  • Feature requests and general product input - welcome via the in-app Feedback form, or through your usual Access contact.
